Our fetish for keyboard shortcuts is not new, and longtime readers will know what we’re talking about. And honestly, we don’t see why we shouldn’t obsess over them. After all, Guiding Tech’s aim is to make everyday computer users better and more productive, and keyboard shortcuts provide a great way to speed up tasks.
So, continuing our series of articles on keyboard shortcuts, today we have my favorite email client – MS Outlook. Trust me, if you master them, you will enjoy the mailing activity.
Let’s see what are the best and most useful keyboard shortcuts for MS Outlook.
Go to Mail, Contacts, Calendars, etc.
The Navigation Pane has tabs for Mail, Calendar, Contacts, Tasks, Notes, Folder List, and Shortcuts, etc. The best way to switch between these elements is to use a number with the Ctrl key. For example: Ctrl + 1 will open Mail, Ctrl + 2 will open Calendar, etc. It depends on the order of placement.
Create new item
Ctrl + N is almost synonymous with ‘create new item’. On Outlook, that will create a new entry for the feature you’re accessing. For example, if you are in the Mail view, Ctrl + N will create a new email, if you are in the Actions view, Ctrl + N will create a new task, etc.
Here are the keyboard shortcuts to create new items from anywhere on Outlook:-

Reply the message
You should be familiar with the operations related to Reply, Reply All, and Forward. How about shortcuts?
- Ctrl + R: Reply
- Ctrl + Shift + R: Reply all
- Ctrl + F: Forward Email
- Ctrl + Alt + F: Forward email as attachment
Change calendar view
The calendar view allows you to view details for a day, work week (5 days), week (7 days) and a month. The easy way to switch them is Ctrl + Alt + [1, 2, 3, 4] corresponding.
replace + [Arrow Up, Arrow Down] takes you one day up and one day down in the calendar.
Mark message
It is a good practice to mark messages that you have read or those that you want to read later. Use the Ctrl + U or Ctrl + Q keys respectively.
Move mail to folder
No folder rule defined for email? However, if you created the folder and used the drag and drop method to move the messages, try pressing Ctrl + Shift + V.
Turn off elements
Recently, we showed you how to customize different panes in Outlook. Alt + F1 and Alt + F2 are quick ways to disable the Navigation Pane and To-Do Bar.
Other terms
Some more details that we couldn’t group under a common title but are quite useful:-
- Ctrl + Shift + B: Launch Address Book
- Ctrl + K: A quick way to fill in the sender address or find the address adding recipients.
- Ctrl + E: Move the mouse to the search box
- F9: refresh Send and Receive for all items.
- F1: Launch the help menu.
- Use SPACEBAR to read messages quickly.
