Quickly Find Old Emails in MS Outlook Using Email Groups

While we are working, email tends to consume a lot of time. And one of the reasons is that we don’t know how to quickly view emails. Like, when we need to pull out an old email, we usually start scrolling first. Hardly an efficient way to find old emails. I’m mainly talking about using MS Outlook (since that’s what most of us use at work) and related features.

We have previously told you about viewing attachments on the Reading Pane. Well, that’s one way to grab their email. But today, we’re going to talk about group email viewing and see how it can help you find old emails quickly.

Steps to view emails in groups

The main advantage of following this trick is that it is really helpful and speeds up the process of pulling out old emails when needed.

Step 1: First thing, you need to make sure that the Show in Groups feature has been activated on your interface. So navigate to View -> Sort by and same test.

When you enable the Show in groups option, emails are by default sorted by Date group (Today, Yesterday, Last week, etc.). This arrangement serves as a good boundary.

Step 2: If you don’t like the default or want to change the grouping rule, right-click on the Message Pane header that says Sort by… Then you can choose new criteria for grouping.

Note that the rule only applies to the currently selected folder. I usually group by From clause when I need a previous message.

Step 3: If you have a long list of contacts and several messages for each, you need a quick way to reach that list. This time right click on the group title and say Collapse all.

Step 4: When you do this, all groups will collapse the list of messages they keep. Click the plus sign for the requested subject and all messages in that group will be available at a glance.

Other grouping options that I find useful and need frequently are To, Subject, Category, and Importance. You can find your own or create a custom view by navigating to View -> Sort by -> Customize.
