In part 1 of this post, we discussed how to sync files and folders on Windows using the free version of Syncback.
In this post, we will talk about using it to backup, sync, and restore data. The steps are more or less the same. Check them out.
How to backup data using Syncback
Download and install Sync. When you launch the tool for the first time, a dialogue window will appear asking you to create a new profile. Click the “Yes” button.
Now there are three types of profiles available. Backup, Sync, and Groups. Choose the first one, i.e. Backup.
A new profile window will pop up. Name your profile. For example, I named my new profile “Data-Backup”.
A profile setup window will appear. Here you will see the Source and Directory fields at the top. To the right there is a browse button (not shown in the screenshot below). Click this browse button to select your source and destination folders.
For example, I want to back up a folder named “test” located in the D drive of my computer. So I went through it and selected it as Source. Now that I have selected drive H as the Destination, this is an external drive plugged into my PC.
On the Subfolders field, I selected “Include all subfolders and their files (and use the folder filter)” because I wanted to back up all the folders contained in the “test” folder.
You may have noticed an expert button that will show you some advanced options for backing up your drive. By using this you can also backup your data to FTP server.
Given below is a screenshot of the tFTP tab that appears when I click the “Experts” button. Here you have to fill in all the correct settings of your FTP server. You can also check the FTP settings by clicking the “Check FTP settings” button at the bottom.
If you don’t want to back up the FTP server, uncheck the “Destination folder is on the FTP server” option.
After filling in all the settings for the profile, click the “OK” button present at the bottom right. It will ask for your confirmation to run the simulation. Running the simulation will generate a detailed report on which files will be copied and deleted after you run the profile backup.
Here is a detailed report of the simulation run.
Now, on the Sync window, right click on your profile name and select Run from the context menu. You can also start the process by using the keyboard shortcut “Ctrl+R”.
Your data will start moving from source to destination. You can pause or stop the process at any time by tapping on the small icon as shown in the screenshot below.
When the transfer is in progress, you will see a small icon located on the windows taskbar.
Note that it will not delete your data inside the source folder. Simple backup means that after finishing the process you will get all the files in the source copied to the destination folder.
How to schedule your backups
You can also schedule daily, weekly or monthly backups using this tool. It will automatically backup/sync data at the specified date and time.
Here’s how you can do it.
Reopen Sync. Now press the “Ctrl+M” buttons on your keyboard to modify the configuration settings page. Switch to expert installation mode by clicking the “Expert” button. Now open the Misc tab. Here you will find a large “Schedule” button. Click it.
A small confirmation window will appear. Click “Yes” to create a schedule.
A warning window will appear. You need to set a password to run your scheduled task.
In the “Actions” tab, click the “Set Password” button. Enter your Windows password. Also, check the box next to “Run only if signed in”.
Now go to the schedule tab and select the task.
Tip: You can create as many profiles as you want. Assuming you need to back up your most important data daily then you should create a separate profile and schedule daily backups using it.
If you have some folders whose contents don’t change often then you can create another profile and set it for monthly backups. Also, never mix your daily and monthly backup data. It is recommended to create different folders in the destination drive.
How to restore a backup
Restoring a backup is an easy process. Open the program, right click on the profile. Select the “Restore” option from the context menu.
A warning window will appear. It simply says that restore swaps the source and destination directories. That means all files of source folder will be replaced by files in destination folder and vice versa. Click the “Yes” button for quick restore.
That’s how you can backup, schedule, and restore your data with Syncback.
