How to View iPhone Notes in Gmail

Apple iPhone and iPad come preloaded with a bunch of interesting apps, and Notes is one of them. It integrates many great note-taking features worthy of other platforms. However, thanks to the Apple ecosystem, notes are not easily available on non-Apple devices. To view them on other devices, you will have to resort to the help of iCloud.

That is, you need to open iCloud on other devices and see the notes there. But some people don’t like using multiple apps or websites when the work can be done by one app or service. So why not sync notes from iPhone/iPad with something people use often – Gmail. Is that even possible?

Yes, it is possible and can be done easily. The overall method involves adding a Gmail account to the iPhone, enabling the Notes to be synced in Gmail, followed by adding notes, and finally viewing them in Gmail.

1. Add Gmail account

The first thing you need to do is add your Gmail account to your iPhone/iPad. If you already added it, skip to the next section.

Here are the steps:

Step 3: Enter your Google account details and follow the on-screen instructions.

Once set up, you’ll find a Gmail label in your Passwords & Accounts settings.

2. Enable Notes in Gmail

Now to sync data from Notes app to Gmail, you need to enable Gmail sync.

To do so, go to Settings > Passwords & Accounts. Tap Gmail. Turn on the toggle next to Notes.

3. Add notes to sync with Gmail

When you enable Notes in Gmail, it doesn’t mean that all your existing notes will automatically sync to Gmail. The Notes app creates a new section titled Gmail. That means only notes created in that section will be available on Gmail.

So open the Notes app and tap on Notes in the newly created Gmail section. Then tap the add icon and start typing your note.

Remember that you can’t create new folders in the Gmail section like you would in iCloud. All notes will just stay in the default Notes folder.

4. View Notes in Gmail

The final step involves viewing your notes in Gmail. They appear under the Notes label in the Gmail web and mobile app interfaces. Gmail creates a new label called Notes when you enable Notes in Gmail as explained in section 2 above.

Now to view the notes, sign in to your Gmail account on the browser or the app. On the browser, look for the Notes label in the left sidebar. On the mobile app, swipe right from the left sidebar and tap Notes.

Your notes will be available as normal email. Click or tap the email to see the notes synced from your iPhone.

Things need to notice

Now that you know how to sync notes from your iOS device to Gmail, it’s important that you know the following:

Edit notes

You can only edit notes on iOS devices. That is, although you can view your Gmail notes from any device, you cannot edit them. You could also say sync is just a one-way street from iPhone to Gmail and not vice versa.

Delete notes

Unlike editing, notes can be deleted from the Notes app as well as from Gmail. So if you delete a note from Gmail, that note will also be deleted from the Notes app on your iPhone, and vice versa. So be careful before you hit the delete button from either interface.

Note deletion may not happen immediately. You’ll have to refresh Gmail and the Notes app to reflect the change.

iCloud Notes

Notes that appear in the iCloud section of the Notes app don’t sync to Gmail, and notes saved in the Gmail section won’t sync to iCloud. As a result, they won’t be available on the iCloud website or other iOS devices.

Move Gmail Notes to iCloud

Luckily, you can easily move notes saved in Gmail to iCloud. So launch the Notes app and tap Notes in Gmail. Then click the Edit button.

Next, select the note and hit the Move To option. Then select the iCloud folder to which you want to move it.

Unfortunately, it’s not possible to directly transfer your iCloud notes to Gmail. However, you can try other workarounds.

Bonus tip: Take notes in Gmail via Siri

Apple offers a convenient option to make Gmail your default place to sync notes if you use Siri a lot to take notes. That way, whenever you ask Siri to save a note, it’s saved in Notes in Gmail, and you can access it in the Gmail website or mobile app.

To get there, follow these steps:

Fix: Notes Not Syncing with Gmail

Sometimes notes from iPhone/iPad may stop syncing with Gmail. If that’s happening, here are a few solutions that you can try.

1. Enable Notes in Gmail

If Notes is not turned on in Gmail settings on iPhone, your note data won’t sync with Gmail. So make sure the toggle next to Notes is turned on.

For that, go to Settings > Passwords & Accounts > Gmail. The switch next to Notes should be green.

2. Remember password

Have you recently changed your Gmail password? If that’s the case, then that could be the reason. Sign in with your new password.

3. Delete Gmail account

Another way to fix the problem is to remove the Gmail account from your device and then add it back. To do that, go to Settings > Passwords & Accounts > Gmail. Tap Delete account.

While the above method allows you to sync notes with Gmail, I really wanted a better alternative. Notes must be synced with Google Keep, or at the very least, the notes must be editable on Gmail. Until Apple gives us something better, we just need to use Gmail sync.
