Understanding HP ePrint and How to Use it to Print From Any Device

You’ve received a PDF as an email attachment, and as soon as the notification pops up on your phone, you know you must get a printout of it quickly. The old and conventional way: connect your phone to your computer, transfer the file (or download it from your email), then click Print. New and great way: forward that email to your printer.. yes, you read that right, to your “printer”!

The folks at HP introduced this fairly new concept called ePrint that allows their web-enabled printer to receive print requests from any device. Each printer basically has its own email address. It’s a lot like Google Cloud Print except it’s better because you’re no longer limited to just Gmail and Google Docs for your cloud printing needs (and as you’ll see later, it also integrates with Google Cloud Print).

In this post, I will demonstrate how to enable this feature on an HP Officejet 6500A Plus All-in-One printer that I received as a review unit at some point (and talked about a bit here on this site).

Activate and Use HP ePrint

Here are the steps to activate and use HP ePrint on Windows 7.

Step 1: Access your printer control panel by double-clicking on its name under Devices and Printers in Control Panel. You will find the HP ePrintCenter in the list. Double click it.

Step 2: It will display a welcome screen asking you to log in. Click the Sign In button.

Step 3: Click the Sign Up link at the top to create a new account.

Step 4: Enter details to create your ePrintCenter account.

Step 5: Now it will ask for your printer code. You already have it in a printout that you get when you set it up. If you forgot to print it before, you can do it again by following the link How do I find the printer code? below the Enter the printer code field. Once you have the code, enter it and continue.

Step 6: It should now show that your printer has been added to your HP ePrintCenter account. Click Next to configure more settings.

It’s about enabling ePrint and adding the printer to the cloud. Let’s move on to some customization options.

Customize HP ePrint Preferences

You can now enter a custom email address (like [email protected]) and give your printer a unique email id. This is the id that you will email when you need to print something from any device.

There are more options located under Allowed Senders, Print Options, and Print Services tabs. Check them out.

Oh, yes, it also integrates with Google Cloud Print. Neat, right?

Below is a screenshot of my ePrintCenter dashboard showing a PRINT message for a page I printed using the ePrint method. Yes, your dashboard will contain your print job history.

You will also receive an automatic confirmation email when the printer receives a print request via email.

Overall, I think this new way of printing is likely to replace or at least dominate conventional printing in the near future. There are limitations of the course. Everything needs to be connected to the Internet for this method to work. Also, not all HP printers have this option. Only web-enabled printers can do this.

So yeah, it’s something new and limited but it’s nice, useful, and definitely makes you more productive if you’re one of those people who use different devices (phones, tablets, etc.) and print things out on a regular basis.
