Notion, a modular productivity app, is rapidly gaining popularity and its user base has quadrupled. The company has made the app free for students and educators. And now, Notion has made the software completely free for personal use (previously $5 per month).

Many users have difficulty trying the Notion app for the first time and give it up due to the complex structure. Unlike its competitors like Evernote and OneNote, Notion doesn’t offer any fixed toolbar for editing at the top. No Notebook, section, tag for organization. Instead, Notion just offers a simple white canvas to start with.

The main editing functions, sharing, page locking, etc., are neatly placed in different sections of the application. Instead of providing all the features to the user, Notion only shows the necessary features to the user.

1. Create a workspace

The company refers to the layout as Workspace to define the default notebook in the application. You can create multiple workspaces. 2. Using Concept Blocks

Notion uses blocks to organize things in pages. But, what exactly is a block in Notion? Each sentence, table, photo, video or web link is converted into a separate block. You’ll see a small six-dot icon at the top of each block. When you hover your cursor there, you’ll see a hand icon that allows you to drag and drop the block anywhere on the page.

3. Use the ‘/’ command

As mentioned earlier, Notion does not provide any toolbars for editing. So how can you change the font type, color, background block, add links, etc? Use the ‘/’ command. You can type ‘/’ to open a floating menu that allows you to add bullets, numbers, block quotes, add colors, dividers, media, integrate files from Google Drive, Figma, Invision, Tweet, etc.

4. Use icons and cover art

5. Add Favorites

There is no direct way to organize Notions with tags. It only provides the ability to favorite a page for easy access. From any page, you can tap the Favorites option at the top and be added to a separate Favorites section in the sidebar.

6. See page updates

When building a page from scratch, you go through dozens of changes to make the page look the way you want it to. Notion tracks every change in a page. You can tap the update option and go back in time to see the changes you’ve made to the Notion page.

7. Share the page with others

Notion also aims to replace Google Docs. And as expected, it offers the same shareability if not better in software. After creating a page, you can share it with other Notion users from the top of the share menu.

Tap the Share button at the top, select add people, and add email IDs. You can also set view/edit permissions for users. From the Share Similar menu, you’ll see the users who added and even removed them.

8. Lock page

Notion does not provide password protection. Instead, you can lock a page to prevent accidental editing. You can enable Page Lock from the three-dot menu, and this will lock the page for further editing. Tap the Lock icon to unlock the page for editing.

9. Use Dark Mode

Notion also supports dark theme. You can tap on the Settings & Membership option and enable dark mode. Even better, you can use the keys Command + Shift + L for Mac or Ctrl + Shift + L to enable/disable the dark theme.
