Unless you’re an expert at managing and organizing meetings and appointments, they can quickly overwhelm you and tire you out. Besides, it is also useful if you quickly schedule when needed.
Outlook’s desktop client as a tool supports most of those requirements. It also has a few hidden tricks. Today, we’re going to cover the fastest and probably the easiest way to copy an existing appointment to a new date.
Tip: If your job requires you to conduct remote meetings with people in different time zones, you’re the one who needs to know these tricks.
Before we get started, let me guess how you’ve arranged your appointments so far. You opened the existing appointment, copied the attendee list, copied the subject line, copied the content, and pasted them one by one into the new invitation. Right?
No more. We have better ways. Let’s check them out.
Step 1: Navigate to the calendar tab on the MS Outlook interface.
Step 2: It is best to switch to month view. That makes it easy to spot the appointment you want to copy.
Step 3: Once you have found your appointment (here is the Appointment Test Schedule at 6:30 PM on April 30), click to select it. Use Ctrl + C to copy the appointment (that’s the only way).
Important: Do not select the entire date. If you do that the trick will not work. The date selection looks like the one shown in the image below. Your selection should look like the image in Step 3 above.
Step 4: Now, navigate to the date (e.g. May 2) that you want to duplicate the appointment. Click and select a date. Again, your selection should look like in the image below. If it is the same as above press Exit key.
If your date is nearby, the best way to navigate is to use the arrow keys. If you’re using a mouse, try clicking near the edge of the date boundary.
Step 5: Paste your appointment here. Use the Ctrl + V keys to do that. Bingo, you just copied an existing appointment to a new date.
Now you can double click the appointment to open it and press the button Send to send invitations to attendees. You can always edit the details if needed before you send them out.
Note: If your intention is to update an existing appointment, you can open the existing appointment, edit the details, and send the update to the invitees. Our tutorial is different in that it creates a new copy of an existing one. Here, duplicate means that all details remain the same except for the date.
Is the trick going to save you a lot of time? I’m sure it will. I also bet you will give it a try. Indeed, you should and you will love to see the results.
