How to Track Changes in Microsoft Word

Microsoft Word has a handy ‘Track Changes’ feature to let you track and record any edits made in the document. When the Track Changes option is enabled, the software will mark any edits made by you or others in a file. You can then review the changes and accept or reject them.

After you enable change tracking in Microsoft Word, any edits you make will be marked with a different text and style to easily distinguish it from the original text. This is a pretty useful add-on when you have multiple authors on the same document.

Enable Track Changes in Microsoft Word

Before you start making changes or sharing a document with others, you must enable the ‘Track Changes’ option for the document.

Step 1: Open any document in Microsoft Word.

Step 2: Once you’re ready to track the changes, tap the ‘Review’ tab at the top.

Step 3: Select the drop-down button next to ‘Follow’.

Step 4: Click ‘Track Changes’ and you are ready to go.

If you want to share the document with other team members, tap the Share button in the top right corner and copy the editable link.

Accept or Reject Changes in Microsoft Word

The ‘Track Changes’ function is useful when you are sharing Word documents with team members or colleagues. You can track every edit and add or remove it from the document based on your preferences. This is the way.

Step 1: Open the Word document on your desktop or web.

Step 2: Check the highlighted text in the document.

Step 3: Right-click on the text and select Accept changes or Reject changes.

Repeat the same throughout the document to get the job done. For some changes, you may want to add comments for clarification or suggestions.

Step 1: Select the text or paragraph in the Word document.

Step 2: Right click on it and select ‘New Comment.’

Step 3: Enter your comments and select the submit button. Word will highlight the text or paragraph for others to check and comment on.

Adjust bookmark options

With so many changes and comments, your Word document can become cramped and cumbersome to view. You can customize your bookmarking options based on your preferences.

Step 1: Open your Word document and select the ‘Review’ tab.

Step 2: Select the drop-down arrow next to ‘Follow’ and expand the marking options as shown in the screenshot below.

You have four options to choose from. Let’s check them out.

All markup: This is the default option and will show all changes and comments in different text and styles.

Simple markup: It will hide all changes in the document and activate a red bar next to them. You can click the red bar to track the changes and approve or reject them (refer to the steps above).

No Markup: As the name suggests, this option removes all markup and comments from the document and gives it a clean look.

Original: You can check your original document before enabling the Word tracking changes option.

By default, Microsoft Words shows all the changes tracked by different authors in a document. Sometimes, you may just want to keep track of your changes and not be distracted by edits made by others. Here’s how you can filter your changes in a Word document.

Step 1: Open the Word document and select Track from the Review tab (refer to the steps above).

Step 2: Select the down arrow next to the Track Changes option. Click Only mine.

Change how display changes are tracked

If you don’t like the look of tracked changes in the document, you can easily customize it with the steps below.

Step 1: Open the Tracking menu in Microsoft Word (refer to the steps above).

Step 2: Expand Markup Options.

Step 3: You can turn off ink, insert, delete, and format.

Step 4: Expand the Balloons menu and enable other styling to track changes in Word.

Step 5: You can open preferences and change the track change style for insertion, deletion, line change and formatting. You can also choose different color options for the author.

If you have Balloons enabled in the same menu, you can change the preferred width and margins. Make the necessary changes and close it.

Watch for changes in style
