Get Almost All Google Services In Google Apps Account

If you own a website/organization and use Google Apps to manage email, calendar, and other similar services to collaborate with employees, then you probably know that last year Google talked about introducing a new Google Apps infrastructure that is nothing more than integration with the infrastructure that runs Gmail, Google Reader, and all other Google services.

What is the new Google Apps infrastructure?

What Google is doing is integrating Google Apps with Google Accounts. Why? Because in the past, Google Apps did not have all Google services, including important Google products such as Google Reader, Google Adwords, Google Adsense, etc. And this is always an annoyance for most Google Apps users. As a result, Google finally decided to solve that problem by integrating Google Apps with the main Google Account infrastructure.

Over the past few months, Google has asked webmasters to start the transition by displaying a notification in their Google Apps dashboard. Google will soon automatically switch each Google Apps account, so it’s time for Google Apps users to do it themselves before Google does it themselves, as there are issues like account conflicts, data transfer etc that need to be clearly understood.

A word about conflicting accounts

Not every Google Apps user has a conflicting account, but it’s important to understand the concept and what you can do if you have one after you switch. For this site we use Google Apps and I have a conflicting account. So, my primary @guidingtech.com email address is linked to my Google Apps account, however, since I want to use all Google services using that address, I created another Google account with the same address.

Now, since Google Apps will closely resemble a Google Account, my @guidingtech.com Google account above that I use for services like Google Reader, Google Webmaster tools, etc. will be considered a conflicting account, and after transitioning to the new Google Apps I will need to link this conflicting account to a new email address (I know it’s a pain!).

As for the data, it will remain in that account but if you want to completely transfer that data to your Google Apps as it now also has all the other Google services, there are ways to do that and we will talk about them in the next post of this series.

Step-by-step conversion process

Now let’s see the different steps involved in the transition.

Step 1. Sign in to your Google Apps account, accept the agreement and click Save this option at the bottom of the page.

Step 2. Google will notify you of the changes. Click Start.

Step 3. You will see the Understand the transition page. We recommend clicking through the links provided by Google and checking the transition overview to get a clear picture of what will change in your Google Apps account.

Step 4. The New Services Reviews page will show new Google products that will now form part of your Google Apps account. It is important that you enable the service that you want to use with Google Apps NOW, because I don’t think there is a way to do that after the transition is complete.

Step 5. In this step, you can choose the user that the conversion should take place now. As an account admin, you can automatically switch people, but that’s not something you should do without first discussing it with your users as they may want to deal with their own conflicting accounts first.

Step 6. This is the last step where you check if all is well and then confirm the conversion to begin.

Once the conversion is complete, you will receive an email from Google informing that your Google Apps account will work like a Google account from now on.

That means you’ll need to enable multi-account sign-in if you want to access your Apps account along with your personal Google/Gmail account in the same browser. Alternatively, you can sign in to Google Apps by visiting regular URLs like mail.google.com or google.com/calendar. No need to visit specific URLs for your domain name like you used to do before. Just make sure you use the full @domain.com email address when logging in.
