6 Great Automated Workflows for iOS to Make Your Life Easier

Exhibition room

Apple’s power users have always been a lover of automation. Why do the same simple thing over and over when you can let the computer take care of it? The Mac even includes an automation tool called Automator to get you started. On iOS, however, it’s a different story. Of course you have IFTTT to automate the content but that is mostly web related and you only get two data points, start and end.

Workflow ($4.99) is a new iOS app called Automator for iOS, and it’s easy to see why. It allows you to pull system-level functionality and links to apps and the web. This lets you do cool things like take the last photo, upload it to the Public folder in Dropbox, and paste the link in your clipboard so you can easily share the photo.

And there’s so much more you can do. Workflows have a “Library” where you can download preset workflows. This is a great starting point. You can also download community-shared workflows on the web. Of course, the next logical step is to create your own workflow. Today we’re going to focus on some of the best workflows you can pick up and start using without customization.

How to use workflow

Before you start, you need to know the basics of the Workflow application. This application has two parts, Work And working process. When you create a new workflow, slide an action from act tab to working process navigation. Create actions one after another and link them. Name the workflow and it will be saved.

How to invoke a saved workflow and install a new one

Today we won’t go into detail about creating Workflows. Safe to say, there’s a lot to cover there. Macstories has an excellent, in-depth guide on how to do just that.

We’re talking about using Workflows from Libraries or other user-created workflows.

Workflows can be invoked from the app itself, from the Share panel in compatible apps, or as a shortcut from the iOS home screen.

For one-time workflows, you can add them to your home screen by tapping the . icon Setting from Workflow and select Add to home screen. A page in Safari will open, just select Add to home screen from the share sheet.

To add them as extensions, swipe down in settings and in Type switch to Action Extensions. To run them, you will need to activate Run the workflow action extension.

1. Upload Last Snapshot to Dropbox

Anyone trying to be productive on iOS knows how to share screenshots. It can be through email or Dropbox. This workflow will make it a lot easier.

Once you’ve connected your Dropbox account, Final photo upload Workflow (available in Gallery) automatically imports your latest photos and uploads them to your Public folder. Once done, you will get a link in your clipboard.

Want to quickly create a GIF of your changing expression or funny face and send it to someone? Create GIFs workflow (available in Gallery) will by default let you take three photos and will stitch them together as a GIF that you can share. You can also increase the number of clicks on the photo.

5. Get iCloud Drive or Dropbox File Picker

One of my biggest complaints about iCloud Drive is that there is no official app for iOS. You can only access files in iCloud Drive from apps that support it.

Select file workflow (opening it on an iOS device) that you can save to your home screen as an app makes things a lot easier. Tapping the app icon will show you iCloud Drive and select a file to show Open menu.

6. Save Web Pages as PDF

If you’re reading a long web page that you want to save for later viewing, you’re better off saving it as a PDF rather than sending it to Pocket or Instapaper.

call Create PDF Workflow from the extension bar in Safari and the page will be converted to PDF and shown to you. This version of Workflow automatically saves the PDF to iBooks.

Discover more workflows

Now that you’ve downloaded the app, browse the Gallery your way. You will find a lot of interesting things like Read the Page’s text, cross post to different social media accounts, ETA homepage and much more.
