Use MailStore Home to Backup and Restore All Your Email Accounts

Your email account is certainly an important asset in this information age and you really can’t afford to lose the data associated with it. While most mail providers guarantee that your email is backed up and safe in the cloud, nothing is certain. It is therefore advisable to back them up offline on your computer. Today, we are going to look at an interesting piece of software called MailStore Home, which can backup all your email accounts, be it Gmail or Windows Live Hotmail, to your PC.

What is MailStore homepage?

MailStore Home is free software that creates an archive of all the mail on your computer from various programs, mailboxes, and webmail services. The application is lightweight and supports any POP3 and IMAP mailboxes along with popular desktop email clients.

Make a backup

Step 1: Download and install MailStore on your computer where you want to create your centralized backup. You can even use the portable version of the program.

Step 2: When you activate MailStore after successful installation, select Email Archive from the main screen.

Step 3: Now you need to specify the service for which you want to create the repository. I used Gmail as an example for the tutorial, however you can choose any service depending on your needs. As you can see in the screenshot below, it supports several email clients.

Note: If you want to create repositories from services like Hotmail or Yahoo Mail, you must configure them using POP or IMAP mailbox settings. A quick Google search will reveal those settings.

Let’s see how to backup Gmail using MailStore.

Step 4: Provide your Gmail login to allow MailStore to access your account.

Step 5: Now you need to filter your backup by selecting specific folders to backup.

Step 6: Double check everything and when you are sure, hit the Finish button. The backup will run to create a local archive of the emails present in your inbox. The process will take time depending on the size of your backup.

Step 1: If you want to restore your backup, go to the MailStore Home homepage and this time click Export E-mail.

Step 2: Select the service from which you want to restore your backup. I have chosen an E-mail address via SMTP for this tutorial.

Step 3: Select the folders you want to export over the SMTP connection.

Step 4: Now you have to configure your mailbox SMTP connection. For Gmail, the SMTP-SSL Server is smtp.gmail.com .

Step 5: As soon as you hit the finish button, the restore will start. This process will take time depending on the size of the archive.

When the restore is complete, open the mailbox where you just restored your backup. You will find all the messages in your inbox sent to you by yourself.

Make small backups

To make your backup size small, organize your emails in online folders by priority and at the time of archiving make sure you select only specific folder as mentioned in step 5.

My judgment

Previously, a Gmail bug affected nearly 150,000 accounts deleting all email from their mailboxes. They tried to recover the account within 24 hours but the situation confirmed that problems tend to happen and you cannot be sure that your online email is always safe. Thus, a tool like MailStore ensures that you don’t lose important data if your email account suddenly disappears.
