The Complete Guide To Microsoft Office Web Apps

Microsoft has finally officially launched the much-awaited Office web app after testing it through the technical preview that it made available to a large group of users over the past few months.

That means if you have a Windows live account then you can access the web version of Microsoft Office on your browser right now. It allows you to create new documents, edit them, share them with friends, and more.

The required storage space is provided by Skydrive. That’s 25 GB in total, which should be enough for most of us.

Obviously, the web version doesn’t have as many features and performance as the desktop version, but if you use Google Docs and miss the web interface of Microsoft Office then you might consider switching to office live. It’s worth a try anyway, so check out this guide we’ve put together for you and give it a try.

How to use Office Live

Go to office.live.com. Sign in with your Windows Live ID. If you don’t have an ID yet, register it. If you’re somewhere outside the US, UK, Canada or Ireland then use this link (although I can access it here in India, directly from office.live.com once I’ve signed in to my Windows Live account).

How to upload office documents

On the web interface, click Add “file association” as shown in the screenshot below.

Click “New Folder” to create a new folder. If you want to upload your document to an existing folder, click “My Documents”. If you upload your document to the Public folder, your friends and other contacts can access it.

Now click the “Choose File” button to select the file. After selecting the correct file, click the “Upload” button. All documents you upload will be saved in your Skydrive account. Note that the file size cannot be larger than 50 MB (However, Office documents larger than 50 MB are quite rare).

How to edit Office Online documents

When hovering over the uploaded document, you will have many options. Click the “Edit in browser” option.

The document will open in your browser. You can edit it just like you would in the desktop version of Microsoft Office. There are several editing options available.

How to create a new Office document

If you want to create a new office document, click on the Office tab provided at the top. On the drop-down list, select “New Word Document”. Similarly, you can create Excel workbooks, PowerPoint presentations, and OneNote notebooks.

Also, if you are on the Office home page then on the right side you will find different icons for creating documents online. Click on the icon of your choice.

Name the new document. Here I have created a word document and named it “Test document”. Click the “Save” button.

Now start typing text on the Word document. You can do all the basic operations that you do in the desktop version of Office. It’s great isn’t it?

If you look at the tabs in the web version of Office, you can find the Home, Insert, and View tabs. Whereas in the desktop version there are more such options. Hopefully we can see them in a future web version as well.

Open Microsoft Office on your mobile phone

If your mobile phone is connected to the internet then go to your mobile browser and go to Office.live.com. You can easily view Word and PowerPoint documents without any additional software.

Messenger and online collaboration

Even if you don’t have Windows Live messenger installed on your computer, you can still chat with your friends while using office documents. You can share documents (when you hover over any file, a share link will appear). Online collaboration is quick and easy.

There is a version history feature to go back to previous edits to your document. In addition, there is an advanced search box to find all documents created or uploaded by you and those shared by others.

According to Microsoft, this is just the beginning. In the future you will find new features in Hotmail and web office, like better integration of web office version with desktop tools, offline editing features, etc.
