All the major web-based email services I know of allow you to set up auto-reply when you plan to not use your email for a while. However, if you’re using a desktop email client, such as Outlook, not all versions of it offer direct setup.
If you are an MS Outlook user, you will be happy to know that you can set up automatic replies to all such incoming messages (even if you are not using the Exchange Edition that comes with the Out of Office Assistant (OOO)). Let us see how.
Steps to simulate out-of-office Outlook behavior
There are two broad steps to setting this up. First, you need to create an autoresponder form that will be used for autoresponders.
Step 1: Create a new email with the desired auto-reply message content. Have Format selected as Raw text from Option navigation.
Step 2: Save this message as Outlook Templates.
Once this is done, you are ready to move on to the second part of the configuration. This will help you auto-reply based on the type of messages in your inbox.
Step 3: Navigate to Tools -> Rules and Warnings. On the next window you should start with a New rules below Email rules.
Step 4: Start from the empty rule and continue with the option Check messages as they arrive as shown in the image below.
Step 5: Define your rules for incoming messages so it can be scanned and filtered accordingly. You can check many boxes here.
Step 6: For action rules, you need to choose to respond with a specific template. Click the underlined value to select the template you saved in Step 2.
Step 7: If there are any exceptions to the filter and action criteria, you can check to remove them if there are any.
Step 8: Cross-check and finalize the rules otherwise you may want to step back and make changes or corrections.
Step 9: You will see that the entry is added Rules and Warnings dialog box. Apply it as tested before you go on vacation.
Conclusion
If you really want to take a break from work during your vacation, you should try this setup in Outlook. The vacation reply tool serves one purpose: to let you enjoy your time off without the pressure of responding to every new email. This method in Outlook works smoothly, as long as you follow the rules correctly and ensure the proper server connection.
