How to Integrate Gmail in Outlook on Web and Mobile

Native apps are available on popular platforms under Microsoft’s new “mobile first, cloud first” strategy. Among them, Outlook shines when dealing with email on the go. The good thing is that it works perfectly with other email providers like Yahoo, iCloud and Gmail. And if you’re just getting started, here’s how you can integrate Gmail in Outlook on the web and mobile.

The Outlook mobile and desktop apps come with handy Spotlight Inbox functionality. It decrypts your email inbox and keeps irrelevant emails in other Inbox. First integrate Gmail into Outlook web.

1. WebOutlook

Microsoft recently released the similarly awesome Focus inbox on the web. And the good news is that you can also use it with Gmail. This is the way.

Step 1: Go to Outlook on the web and sign in with your account credentials.

Step 2: You will see a + icon next to your Outlook account, as shown in the screenshot below.

Step 3: Click that and Outlook will open a window to choose an email provider. Click Gmail.

Step 4: Sign in with your account credentials.

Step 5: After the connection is successful, you will see the Gmail icon appear below Outlook in the left sidebar.

You can click it and Outlook will take you to your Gmail inbox to check your email. Centralized Inbox is here to manage your email.

2. Outlook Mac App

The Outlook for Mac app has received a nice makeover on the Mac. Microsoft is expected to replace it with a single Outlook app on Mac and Windows, but it’s far from over and for now, we’ll be using the existing Outlook Mac app for demonstrations.

Step 1: Download the Microsoft Outlook app from the Mac App Store.

Step 2: Sign in with your Outlook account and click Outlook from the menu bar.

Step 3: Open Preferences and go to Accounts.

Step 4: Click the + icon at the bottom and select New Account.

Step 5: Enter your email provider’s address and add a password, and in a few minutes Outlook will sync emails from Gmail and display a separate account in the app.

From the same Account menu, you can rename Gmail to Work or Home or any other label. Another advantage of using Gmail over Outlook is the OneNote integration. You can send important emails from Gmail to OneNote directly with just one click.

3. Windows Outlook App

Microsoft recently improved all of the Office apps on Windows to sync with the design changes of Windows 11. We’ll be using the redesigned Outlook app on Windows to add Gmail to the app in the picture. screenshot below.

Step 1: Open Outlook application on Windows.

Step 2: Click File at the top.

Step 3: From the Info menu, select Add account.

Step 4: Add your Gmail email ID and password from the following menu.

Step 5: If you’ve enabled two-factor authentication for your Google account, Gmail may ask you to verify with a different code.

Step 6: Verify yourself and you will soon see Outlook importing emails from your Gmail account.

Unfortunately, there is no way to integrate Gmail email into your Outlook account. However, Google provides a useful tool to integrate all incoming Outlook emails into Gmail inbox and treat them like regular Gmail emails. It also counts towards your Google Drive storage.

All you can do, go to All Emails/All Inboxes preferences and see all emails in a single place.

4. Outlook Mobile App

Many GT team members prefer the Outlook iOS/Android app to the Gmail app. Google has cluttered the Gmail app with Chat, Rooms, and Meet add-ons, and it still feels dated compared to the competition out there.

Outlook brings a fresh look with lots of theme/accent options and great calendar functionality (thanks to the Sunrise Calendar acquisition).

Both Outlook iOS and Android have identical user interfaces. The screenshot below is from the Outlook iOS app.

Step 1: Open Outlook on iPhone.

Step 2: Tap the Home button at the top and go to Settings.

Start Using Gmail in the Outlook App

If you’re someone who constantly switches between Gmail and Outlook, you should add a Gmail account to one of Outlook’s web or apps to manage email like a pro. Outlook also supports Google calendars, so you’re covered with your Gmail events, too.
