How to Download Meeting Attendance on Microsoft Teams

With virtual meetings now the norm, video conferencing tools like Microsoft Teams introduce new features to appear more user-friendly. For example, you can download meeting attendance on Teams to get a list of participants.

Microsoft Teams currently offers three types of virtual meetings, including live events, webinars, and regular meetings. Previously, only live events provided attendance reports. The user can only join the meeting for other meetings by taking a snapshot or manually counting the meeting attendees. Users cannot capture meeting participants who are late or leave early, depending on the time of attendance.

The good news is that all of these meetings now include meeting attendance, albeit with a catch. You must be the meeting organizer or co-host to access this feature, and the administrator must enable it before the meeting. There are currently two ways to download meeting attendance on Microsoft Teams.

Download Join Microsoft Teams in a meeting

If you want to attend your meeting while your meeting is in progress, then you can follow the steps below:

Step 1: Join the meeting and wait for the participants to join.

Step 2: Click Show participants under the meeting controls.

Step 3: Go to Participants and click the ellipsis or down arrow.

Step 4: Click Download attendee list and Microsoft Teams will download the list in .CSV format.

Step 5: Go to your Downloads folder in File Explorer and find the meeting file name AttendanceList.

Step 6: Double-click it to open the file. Typically, the file should contain the names of the attendees, their attendance period, and then each attendee’s leave time. If an attendee joins the meeting before the organizer, their time of participation must correspond to the time of the organizer’s participation.

Download Microsoft Teams Attendance after the meeting

Most people prefer to attend after meetings for a variety of reasons. The first is that doing it in a meeting can be quite distracting. So you can wait until the meeting is over to assemble the list.

Another reason is that you want to know who stayed until the end of the meeting. Remember that receiving a meeting attendance report during a meeting only records the information until you download the report. That said, there are two ways for you to join a meeting on Microsoft Teams after the meeting.

Get meeting attendance using meeting invitation

Before explaining the steps, you should note that you cannot use this feature if you schedule a meeting through a Channel. Check out the steps below to learn how to download meeting attendance via meeting invitation:

A channel is created in the Teams app for channel members only.

Step 1: Launch Microsoft Teams and click the Calendar icon.

Step 2: Click the meeting in your calendar.

Step 3: Click the pop-out icon.

Step 4: Click the down arrow next to Attendance.

You can also download meeting attendance from the Attendance tab next to Meeting Details. If the meeting is recurring, select the report that you need to view and download.

Download attend meeting with meeting chat

After the meeting ends, meeting attendance will be available in the meeting chat. You can use this method if the channel is used to create the meeting. To download your meeting attendance, follow these steps:

Step 1: Launch Microsoft Teams and click the Chat icon.

Step 2: Scroll through your chats to find the meeting chat, or if the meeting was created from a channel, click Post.

Step 3: You will see a box labeled Attendance Report in the chat area. Click the down arrow next to this report to download your meeting attendance.

Mute meeting participants in Microsoft Teams

Microsoft Teams downloads meeting reports in .CSV format. Additionally, to access attendance reports, the meeting admin must enable the feature before the meeting. If you get a lot of background noise from meeting participants, you can mute them.
