How to Collaborate in Apple Reminders on iPhone and iPad

With the last few iOS updates, Apple has improved the default Reminders app by leaps and bounds. In addition to the visual redesign, Reminders can also share tasks with others. What is more? You can share lists and collaborate with others on pending to-dos. Here’s how you can manage tasks with others in Apple Reminders on iPhone and iPad.

Create a list in Reminders

When it comes to sharing in the Reminders app on iPhone or iPad, you can’t just share a single task. You need to create a list and only then will the sharing function appear to you. Follow the steps below to create a list in Reminders.

Step 1: Open the Reminders app on your iPhone.

Step 2: Tap on the Add List option at the bottom.

Step 3: Add the list name, change the list color and edit the default icon.

After creating a new list, you can open it and add a new reminder from the bottom option.

Try to add as much detail as possible to a task. You can add due dates, tags, set priorities, and even integrate photos from the Photos app.

Once you’ve created your perfect Reminders list, it’s time to start sharing it with others.

Share a list in Reminders

Follow the steps below to start collaborating in the Reminders app.

Step 2: Open a list that you want to share with others.

Step 3: Tap the three-dot icon at the top and select Share List.

Step 4: It will open the share menu. Go to Sharing Options.

If you don’t want other people to add new people to the list, turn off the switch from the Sharing Options menu.

Step 5: Select an app that you want to include in the sharing list.

After you select an app, Reminders uploads the list to iCloud and creates a link to share. You can ask others to join the list.

When others join the Reminders list, it will appear to them in the app and they will be able to see all the added tasks.

Assign tasks to others

After you’ve shared a list, you’ll want to assign tasks to others. You won’t see their name appear in the app unless they join the list using the link iCloud received.

When people join the list, you’ll see their names appear in the Reminders app. Follow the steps below to delegate tasks to others.

Step 1: Open Reminders and select the sharing list.

Step 2: Select a task and tap the ‘i’ button next to it.

Step 3: It will open the task details menu. Scroll down and select the option Specify a reminder.

Step 4: Select the person’s name and Reminder will assign the task to the selected user.

Tap Done at the top and you’re ready to go. Similarly, others may also assign you specific tasks. This is how you can see all assigned tasks in one menu.

Check the assigned tasks in the Reminder

Step 1: Open the Reminders app and tap the Edit button at the top.

Step 2: Turn on Assigned to me option and press Done button.

Mute specified reminders

Get constant notifications about shared tasks that can disrupt your workflow. You have the option to turn off notifications for specified reminders.

Step 1: Open Settings on iPhone.

Step 2: Scroll down to Reminders.

Step 3: Turn on Mute notifications for the specified reminder.

From now on, notifications work as expected for normal tasks, but you won’t get notifications for assigned to-dos.

Stop collaborating in Apple Reminders

At any point, you can pause sharing in the Reminders app on iPhone and iPad.

Open the shared list in Apple’s Reminders app, tap the three-dot menu at the top, and select Manage Shared List.

Tap Stop Sharing and remove the others from the list.

Get things done with Apple Reminders

While the Reminders app isn’t available on Android and Windows, the task management app is still the preferred way to get things done on Apple devices. With the collaboration feature in Reminders, you can share task lists with friends or family members, delegate tasks to others, and stay on top of to-dos throughout the day.
