How to Use Smart Folders in Notes App on iPhone, iPad and Mac

Apple’s Notes app on iPhone acts as a repository to store all the important ideas, addresses, directions, recipes, and more that you might otherwise have left in your head. Whether you paste a link or jot down your to-do list, you’ll get a bunch of notes over time. And sifting through those notes to find a specific one can get tiresome.

To help organize your notes better and simplify searching, you can put them in Folders in the Notes app. To stay one step ahead, you can use Smart Folders in the Notes app to help you choose the right folder whenever you want to search for a specific note or detail. This post will share the steps to use Smart Folders in the Notes app on your iPhone, iPad, and Mac.

Use Smart Folders in the Notes App on your iPhone and iPad

You can take notes with your iPhone or iPad on the go. You can then organize them into Smart Folders. You may have used Folders to manage different notes in the app. Smart folders help you organize those notes better so you can quickly find related note(s) with specifics. Here’s how to use Smart Folders in the Notes app.

Step 1: Open the Notes app on your iPhone or iPad.

Step 2: Tap Folder in the top left corner.

Step 3: Click the New Folder button in the lower left corner.

Step 4: Assign a name to your Smart Folder and click Make Into A Smart Folder.

You will now see options to set Filters for your Smart Folders. The Notes app automatically adds notes to your Smart Folder based on the Filter you selected.

Step 5: Click the drop-down menu next to the Filter name and choose between Any Tags, Any Selected Tags, All Selected Tags, or No Tags. Filters will then appear in the Enabled Filters section. You can always change the settings of any filter to select Tags from this section.

Step 6: Click Done in the upper right corner to confirm.

Step 7: Tap Done again in the upper right corner to create a Smart Folder.

You will see notes automatically added to Smart Folders based on your Filter selection.

How to delete smart folders in the notes app on iPhone and iPad

If you no longer need Smart Folders, you can get rid of it. The best part is that when you delete a Smart Folder, the notes that appear in it will continue to reside in their normal folder and will not be deleted. Here’s how to delete your Smart Folders in the Notes app on your iPhone or iPad.

Step 1: Open the Notes app on your iPhone or iPad.

Step 2: Swipe left on your Smart Folder name.

Use Smart Folders in the Notes app on Mac

Step 1: Press Command + Spacebar to open Spotlight Search, type Check for software updates, and press Back.

Step 1: Press Command + Spacebar to open Spotlight Search, type note, and press Back.

Step 2: Select your Smart Folder.

Step 3: Click the three dots next to your Smart Folder name.
