How to Quickly Switch Between Email Signatures in Gmail

For many of us, email is a way of life. And Gmail is the designated Circulation System. If you have a business or job that doesn’t even have much to do with the digital world (and doesn’t have much to do with the digital world), then Gmail’s website is where you spend most of your day. And you send a lot of emails. It can be personal, work related, for different clients, etc.

Handling email for a freelancer is difficult, especially when dealing with signatures. A lot of freelancers customize their signature depending on who they email to, choosing to add or remove content from the signature. I know a fellow writer who uses her own quotes as signatures.

It’s a fun way to stand out in this digital world. But having only one quote to send out can get boring. What if you’ve prepared templates for different quotes with linked blog posts available in an easy-to-switch UI? Or are different signatures preconfigured for different clients/scenarios? If you use Gmail’s web client, this is easy to do.

Enable canned responses

Canned Responses is a feature of Google Labs developed with lazy people in mind. With it, you can create richly formatted messages and convert them into code snippets, ready to be pasted from the compose window.

To enable this feature, click Gear icon and click Setting. You will see a laboratory tab is in the third position from the right. Click on it to see all current labs listed. You can search Canned reaction or scroll down. Click Allow and then save the settings.

Configure different signatures

Email signature

Now go to the compose message window and enter what you want as a signature. Please add rich text formatting and link to it. Even highlight text if you want – everything currently in the editor window will be saved as a snippet.

Click down arrow menu button and from there go to Canned reaction -> new canned reaction.

You will see a popup asking to set the header for the response. Add something memorable. If it’s a special signature for a client, add it.

You can do this as many times as you want.

Signature conversion

If you have the default signature enabled, you know that anything below the two dashes marks the signature. So mark everything below the dash and from the menu go to Canned reaction.

Under Insert title, you will see the title of all the paragraphs you have saved. Click on one and its content will be swapped with the highlighted text. If you want to add a piece of code instead of replacing it (such as a quote), keep the cursor on a new blank line.
