Announcements are a way to let people know immediately that an event has occurred. And you must have experienced a lot of that on social networking sites. Personally, I find them really useful with email.
I use MS Outlook as my email client and the way its mail alert system works keeps me up to date with my emails. At a glance, I knew the interesting point of the message and could decide what to do with it. However, sometimes I lose focus on important tasks because the emails are not so important.
So I considered disabling the default message alerts and creating personalized rules/alerts for certain types of messages (consider things like sender, subject, etc). Here’s how you can do the same.
Steps to disable default alerts
If you want to generate alerts for a specific type of message then you should deactivate the default setting. Otherwise, there will be two warnings for each such message.
Step 1: Navigate to Tools -> Options to start Option dialog box. Here, highlight the Interest tab and press Email Options bottom button Email part.
Step 2: On Email Options click dialog Advanced email options.
Step 3: Uncheck the option to Show alert on new message screen to disable the default warning on the screen.
Steps to create a custom alert rule
In this section, we will define the rules for the messages for which we want to receive email notifications.
Step 1: Right click on a message (from person in your rule to alert mapping) and select Create rules.
Step 2: Check the boxes for any parameters you want to apply and then check the boxes for Shows in the New Item Alert Window. In addition, you can Play selected sound that means you can arrange different tones for different people.
Step 3: You can also navigate to Advance setting to apply more filter parameters and add exceptions to the rule.
You can also run the rule immediately to check if it works. When done, your custom alert rule will be ready to go.
Quick tip: You don’t always have to create new rules. If you have an existing rule (for example, to filter messages), you can open it by navigating to Tools -> Rules and Warnings and tick the correct/required box.
However, there are some differences in the default popup and custom alert window. While the default pop-up appears at the bottom right of the screen, the warning window will appear above whatever you’re running.

It’s a good gesture to attend to emails almost immediately, and it’s also good to reply to them as soon as possible. Desktop notifications help a lot with this activity. But then, not all emails are important, and not all of them require an immediate response and redirect away from current tasks.
