Many of you must be using

as an email client. Also, chances are you have integrated

multiple email accounts

. In such a case, when you receive a lot of messages, it is important to know how to isolate them and check the important ones first.

Instead of doing this manually, you may want to have folders dedicated to different types of email so that incoming messages are stacked in their respective folders. For such automation, Outlook allows you to create rules and apply the same rule to each incoming email. Accordingly, it will push the messages to their specified folder. The concept is similar to filters and labels in Gmail.

For example, I want all mail from “Sandeep Agarwal” to a folder named Self. This is how I define the rules for it.

Steps to create an email rule

The same process applies to all types of email rules. Here is a detailed example, showing the process in question. You would choose/define the parameters according to what you want.

Step 1: Navigate to Tools tab and select option Rules and Warnings.

Step 3(a): Select the people you want the rule to be applied to (i.e. emails coming from selected people). The list will only show people added to your contacts. So you need to make sure that you have added the desired contact before you start.

Step 3(b): Select the folder you want to move/send mail to. You can also create a new folder here.

Step 4: Next, you can refine your rule by adding more constraints or parameters to the base rule. For example, a message with a specific Subject. You also need to check the preference option and click its link to refine the rule or add a description.

Step 5: If there are any exceptions to the rule that you cannot configure in the steps above, you can do so here.

Step 6: Now you are done and can choose Complete. However, I recommend you check it out Run this rule now… with Turn on this rule. This ensures that new and existing messages that meet the rule are moved to the respective folder.

If you want to shorten the process (however, you can’t set detailed rules this way), go to your inbox and follow the steps below:-

Step 1: Right click on the message (from person in your rule to folder mapping) and select Create rules.
