Sometimes, you finish importing a report, presentation, or letter and discover that you have some consistent typos in the Word document. If the document is short, changing a few documents won’t take long. However, you can do it quickly using the Find and Replace option in Word.
The Find feature allows you to identify all occurrences of a given word, while the Replace feature allows you to replace words. Here’s how you can use both features.
Find text
Using a simple keyboard shortcut, you can access Microsoft Word’s Find feature on the Navigation panel. Here’s how it works:
Step 1: Launch the Microsoft Word document.
Step 2: Press CTRL + F keys simultaneously to launch the Navigation pane.
Step 3: Provide the text you want to find in the text box labeled Search Document.
Step 4: Press Enter on your keyboard to continue your search and you will see relevant matches in the Navigation pane. The tool highlights every word match in the text, even partially matched words.
Step 5: Move from one result to another using the arrows next to the text box. Alternatively, you can click on any of the results to edit them directly.
Step 6: If your document has a title, you can search for the document through the Titles tab. Go to the Navigation pane and select any heading to browse your document by headings.
Step 7: Click the Pages tab in the Navigation page to search by site. When you do, you’ll see thumbnails of each page in the document. Click on the page you want and find the text there.
You can close the Navigation Pane after editing the document and all highlights will disappear. If you want to use the search feature to search for special characters in Word documents, you can try the next method.
Find text with special characters (Advanced Search)
The Advanced Search feature is useful if you need to search for more specific phrases or words. Examples include special characters, full words, or a special style or font. Advanced search helps you track down these phrases or words easily. Check out the steps below to learn how:
Step 1: Launch the Microsoft Word document.
Step 2: On the Ribbon, click the drop-down menu under Edit.
Step 3: Click the drop-down arrow next to Find and click Advanced Find to launch the Find and Replace dialog box.
Note: You can press the CTRL + H keys on your keyboard simultaneously to launch the Find and Replace dialog box.
Step 4: If you want to customize your search, click More. When you do this, you’ll access more options for your advanced search. You can choose any of the options below:
- match case
- use wildcard
- Search only for the whole word
- Sounds like
- suitable prefix
- suitable suffix
- Find all word forms
- Ignore whitespace characters
- Ignore punctuation characters
Replace text
One way to replace a specific phrase or word is to use the Replace Text feature. We will show you how to do this in the steps below:
Step 1: Launch the Microsoft Word document.
Step 2: On the Ribbon, click the drop-down menu under Edit.
Step 3: Click the drop-down arrow next to Find and click Replace to launch the Find and Replace dialog box.
Step 4: You will see two fields in the Find and Replace window. Add the word or phrase you want to replace in the Find what box and a new phrase or word in the Replace with box.
Step 5: If you want to replace a specific search result, select Replace. However, if you want to replace all search results, select Replace All.
Replace text with special features
This feature is very similar to the Advanced Search option above. It allows you to find text and replace them with characters, phrases, or words in a specific style or font, capitalization, or punctuation. The steps below will show you how to use this option:
Step 1: Launch the Microsoft Word document.
Step 2: On the Ribbon, click the drop-down menu under Edit.
Step 3: Click the drop-down arrow next to Find and click Replace to launch the Find and Replace dialog box.
Step 4: You will see two fields in the Find and Replace window. Add the special word or phrase you want to replace in the Find what box and a new phrase or word in the Replace with box.
Step 5: If you want to go further with customizing your search, click Add and tick the relevant boxes for your Replace feature.
