Change Auto-Check Time for Send Receive Mails in Outlook

How often do you log into your email account and check for new emails? For me, it’s like every 5 minutes (yes, I definitely plan to go buy the ‘A Guide to the Life of an Email Addictive’ book once I finish this post). And, since I use MS Outlook as my desktop email client, I’ve set it to automatically sync with my accounts every 5 minutes.

By default, the tool is set to send and receive emails every 30 minutes. If you don’t like it that way, read on and learn how to change the settings.

Steps to change the sending and receiving interval on MS Outlook

We will use MS Outlook 2013 for demonstration in this tutorial. The steps are more or less the same on all previous versions.

Step 1: Navigate to the behind the scenes view by clicking Document.

Step 2: On the left pane of the backstage view, click Option. That will open Outlook Options modal window.

Step 3: You will see a menu aligned to the left. Click High level.

Step 4: Scroll down, until you see send and receive the upper right pane of the window.

Note: Check Send as soon as connected which means that when you are connected to the internet, the time period rule will not apply to messages you send out of your system. It will always work for sending.

Step 5: Click on the . icon Send and receive button to start Send/Receive Groups window. As an alternative, you can skip all of the above and use Ctrl + Alt + S to open this window directly.

Step 6: Select the group in which you want to make changes. A group is identified by the set of accounts associated with it. All accounts group exists by default and has all accounts in it. You can create your own groups and choose which accounts are part of the groups.

First thing, Schedule automatic send/receive every N minutes box must be checked. It also has a version for offline installation and I hope you can understand what it means.

You must have noticed that I have Include this group in send/receive (F9) checked. That means, at any given time, I can just press F9 and sync all accounts ad-hoc (regardless of time period). The user interface options for the same are shown in the figure below.

Conclusion

If you are not an MS Outlook user, you have a reason now. It makes the synchronization really automatic and that also happens with a user defined frequency. Besides, desktop notifications act as great interruptions to help you stay on top of your email.
