Out of Office (OOO) response
to automatically reply to emails (when you’re on vacation) gives a professional touch to the way we handle our emails. However, most of us have developed or adopted a standard detailed process.
only one
Our date is not available in our message.
Let us change this style and give a creative curve to what mailers see on our autoresponders. Why not try and include the details of our interaction during that period (or before and after that period) so those who are trying to contact us can schedule a contact (again) accordingly.
And today, we will learn how to include those details in a graphical way, i.e. by adding a small calendar (with selected details) to such messages in MS Outlook.
Steps to include a mini calendar in holiday responses
The process through steps 1 and 2 is common to all Outlook users. However, step 3 will not apply to people using the OOO Assistant (available in the MS Outlook Exchange version). We will cover what such users can do to the end.
Step 1: Launch the MS Outlook client and navigate to Calendar section from the bottom of the left pane. Right-click the calendar that you want to include in the automated message; and then tap Send by Email.
Step 2: You will see a dialog where you will have to set the date range and select the calendar range that you want to share.
(a) You can also change your calendar here, in case you made the wrong choice or decided to switch.
(b) Select the range/time period that you want to include in your response. In general, it would be Next 7 days (at least I do it).
(c) Select the details you want to share. Here, I like to pose Limited details.
(d) You can convert High level settings for more options and limitations.
After you save your settings, your calendar will be imported as an email. You’ll see a thumbnail calendar with color metrics on the dates that define your participation. The date also provides links to details further outlined in the message.
I recommend deleting the attachment as that will become redundant data.
Step 3: The process then includes creating a new rule and setting it as a vacation response. It is explained in detail on another post here. Follow steps 2 to the end of that article.
Note: For those using the OOO Assistant, copy the result of Step 2, navigate to where you put the message for the response, and paste it there.
Conclusion
So will you put your answer in a little calendar next time? I guarantee that people who receive such feedback will appreciate you more than ever. Don’t forget to share this article with your colleagues and friends if you liked it.
