Annotations help you make meetings, lectures, and webinars more effective and engaging. Here’s everything you need to know to use Captions in Zoom.

How to enable captions in Zoom

Whenever you share your screen in a Zoom meeting, you can use Captions to better present and explain your ideas or topics to your participants. If you are a teacher, you can use Annotations in your online classes to draw and illustrate better. Working professionals can make an impact in meetings using Captions. Annotations only work when you share your screen in a Zoom call.

Here’s how you can enable Captions in Zoom on your computer.

Step 1: Open a browser and access zoom.us.

Step 2: Sign in to your Zoom account.

Step 3: On your Zoom profile page, click Settings from the left menu.

Step 4: In the Meeting tab, scroll down and find Annotations.

Step 5: Tap the toggle to enable Captions.

You can also enable ‘Allow screen sharing to be shared with Annotation’ and ‘Only the user who is sharing can annotate.’ When not needed, you can turn off these controls.

How to start using annotations in Zoom

Before you start using Annotations, we recommend that you check for Zoom app updates on your Mac or Windows PC. The steps are the same for both platforms.

Step 1: Open the Zoom app on your Mac or Windows PC and sign in to your account.

Step 2: Click on your profile icon in the upper right corner.

Step 3: Click Check for Updates from the list of options.

Step 4: If an update is available, download and install it.

After you install the Zoom app update, you can start using Annotations. Although the screenshot is from a Mac, these steps also work with Windows.

Step 1: Open the Zoom app on your Mac or Windows PC.

Step 2: Start a Zoom meeting.

Step 3: Click the Screen Sharing icon at the bottom of the Menu Bar to start screen sharing.

Step 4: Once screen sharing starts, click on Annotate on the bottom Menu Bar.

You will see the Caption Menu Bar enabled at the bottom, which can be dragged to the top. The mouse pointer will also turn into a pencil icon to annotate.

Step 5: Click and drag the pencil icon to annotate on your desktop.

How to change caption color when zooming

Now we will show you some customization options for using Captions in Zoom. First, let’s start with changing the color of your captions. The steps we cover for all customizations are the same for Mac and Windows users.

Step 1: Open the Zoom application and start the meeting.

How to delete captions in Zoom

Here’s how you can remove your line captions during screen sharing on Zoom calls.

Step 1: In the Annotation Menu Bar at the bottom, click the Delete icon.

Step 2: Click and drag the mouse pointer, which should now look like an eraser, and delete your comment.

How to use text annotations in Zoom

In addition to using lines to highlight certain areas, you can also add Text Captions while sharing your screen during a Zoom call. Adding text annotations can help with note-taking in your presentations, lectures, and meetings.

Step 1: Open the Zoom application and start the meeting.

Step 2: Click the Share Screen icon at the bottom of the Menu bar to start screen sharing.

Step 3: Click on Annotate.

Step 4: Click Text from the Annotation Menu Bar at the bottom.

A Text box will be created in the bottom left corner of the shared screen to write your caption text.

You can then use the Format option to change the font style and size of the text captions.

How to save annotations in Zoom

After your Zoom meeting, here’s how you can save your annotations on your Mac or Windows PC so you don’t lose any important notes or pointers.

Step 1: Click the arrow next to the Save icon on the right side of the Annotation Menu Bar.

Step 2: Choose a file format to save your annotations in.

After Zoom saves your annotation file, you can access it from the Zoom folder that appears in the Documents folder on your Mac or Windows PC.
