How to Configure Office 365 Email, Calendar on Android

You joined a new school or got a new job. It’s going great. Nice people, good work, and then the bomb fell. This organization runs on a Microsoft backend that no one can give you a valid reason for. Your first instinct is to run, run far. Do not.

Yes, you swore on MS products right after Office 2007, but things have changed since then. MS has switched to a “cloud” strategy and (most) their online products are pretty awesome to use. Includes Office 365 Email, Calendar, and even the Office 365 online productivity suite.

Instead of fighting it, start enjoying the Office 365 way of life.

It’s simple, just download the Microsoft Outlook app

Yes, you can add your Office 365 account directly to Android via Setting (we’ll see how to do that below), but it’s not as easy as just logging in. With the Outlook app, that’s easy.

The MS Outlook app has recently been redesigned. It’s feature rich and easy to use.

If you’re allowed to download apps on your Android phone, just download the app. When you open the app for the first time, it will ask you which service you want to use – select Office 365 and sign in with your work or school email and password.

And.. that’s it. You participated. This app will show you all your emails, calendar events, and contacts.

You can continue to use the Gmail app for your personal use and the Outlook app for school/work only.

Outlook has some unique features like a “focused” inbox, swipe gestures, smart notifications, uploading files to the cloud, etc. We’ve written about this set of features in the iOS app before. Android apps are pretty much the same.

To get to Calendar in the Outlook app, tap the . icon Hamburger icon and select Calendar navigation. Outlook also has a basic Calendar widget.

Manually add an Office 365 account to Android

If you’re running the latest version of the Gmail app, you can add an Office 365 account to it without downloading the entire other app. The problem is that the process is far from simple.

You can add an account in two ways – from the Gmail app or from Android Settings. I would go the Install route.

Go Setting on your phone and select account. Scroll down and tap More account. From the list, select Exchange.

You will now be asked to enter your email and password in the next two screens.

The screen then is the problem. Here you will see things like ports and servers. Things you don’t understand, and don’t need to understand. If you just hit Nextyou will probably get an error but won’t know exactly what the problem is.

I had to go to my school’s IT guy to get him to enter the correct server address (which I forgot). You may also need to do that.

But once you sign in, you’ll get several options to integrate your calendar, contacts, and notifications. If you activate CalendarAll calendar invitations and events will show up directly in the Google Calendar app.

This is a bit long and complicated, but if you just want to use Gmail and Google Calendar to access your Office 365 account, it’s well worth a try.

In the Gmail app, tap the icon Hamburger menu and tap the active email address to switch to your sub-account. In the Calendar app, you can decide which Calendars to show from the sidebar.

Alternative calendar app: Sunrise

Sunrise was recently acquired by Microsoft. Sunrise remains one of the best calendar apps out there. It’s free, has a great user interface, loads of integrations, one of the best Android calendar widgets, and native Office 365 support.

Just open the app, add an account, and sign in with your Office 365 account. All your Calendar events will be right there.

The Future is Cross Cloud Platform

Don’t be surprised to use a combination of cloud services at your work/school in the future. Just keep an open mind and embrace the new.

I’m curious how many major cloud services are you currently using? Share with us in the comments below.
