How to Change the From Address in Microsoft Outlook

Some users have more than one email ID. It’s the bare minimum when one is used for work while the other is for personal reasons. Seeing how most of us are struggling to balance both lives at the same time, it makes sense to sign in to Microsoft Outlook from both accounts. Sending email becomes easier if you can change the Sender address in Microsoft Outlook on the fly.

This makes it easier to access the inboxes of different email addresses and switch email senders in Outlook. Note that you can add any email address in the Outlook desktop app like Gmail or ProtonMail.

Add an email account to Outlook Web App

First, I’ll show you how to add a new email ID on the Outlook web app or OWA.

Step 1: Open Outlook.com in your favorite browser and click the gear icon to select the ‘View all Outlook settings’ option.

Step 2: You can add a new email account in the Email sync option in the left sidebar. There is a separate option for Gmail.

It’s easy to choose a different Outlook email address to send emails quickly. Just click the From button to bring up a drop-down menu with all the email IDs you added. The From button is only visible when there is another email ID to choose from.

Select the one you want to use to send emails from and compose your email as usual. The From address field will reflect the change in real time.

There are a few things to note. You cannot add more than 20 accounts to the From field in Outlook. Adding more than the upper limit renders all added email IDs useless. Which means you won’t be able to send emails from any of them. To fix this, remove some of them to meet the threshold limit.

The desktop version works differently from OWA.

Step 1: Open Outlook and compose email as usual. The From field is not visible by default and is hidden in the Options menu. Click that first and then select From to show options in the email compose section.

Step 2: Click the New Word Address button displayed to quickly change the outgoing email address.

Adding a new email ID on the fly is also pretty easy. Click the From field again and this time, click the Other Email Address option. Simply enter the new email ID and then follow the onscreen instructions to quickly add it. You can always configure it later, just like other email IDs.

What happens when you change the word address in Outlook

There are three main policies or frameworks that have been developed to handle such situations. They are the Sender Policy Framework (SPF), Domain-Based Message Authentication, Reporting and Compliance (DMARC), and Domain Key Defined Mail (DKIM).

One of the functions of these frameworks is to protect users from email spoofing, that is, sending email from an address not owned by the sender. Although we own the address, it is not our primary email ID. An example might be using a Gmail ID to send email from the Outlook app.

Here’s how Google would handle the situation. It will not filter email or block it. Gmail will ignore the new sender address and display the original Outlook email ID in the From field.

Things work a little differently for the Microsoft Exchange server. Emails will be sent as normal if the server is configured to send email from a different email address. As long as you have access to the email address and are allowed to use it. This is true even if you haven’t added the email ID to Outlook. An example where this could happen is ‘[email protected]’ email address. Most companies have this email ID where certain responses are provided to be sent out when conditions are met. You don’t need to add it to the From your Outlook client address field. This is often referred to as an autoresponder.

Not everyone has an email address connected to the exchange server. In the case of a regular email ID, the email will not be sent. Instead, you’ll get a Delivery Error Message that says something like ‘This message could not be delivered. You do not have permission to send messages on behalf of the specified user’.

Set default email ID

Users with multiple email IDs added to their Outlook accounts have been known to send emails from the wrong email ID. One way to fix this problem is to set the default email ID in your settings. This option was added in Outlook 2016.

You’ll find the option in Settings > Mail. Just enable the ‘Always use default account when composing new messages’ option.
