How to Archive, Delete, and Restore Microsoft Teams Account

Microsoft Teams is great for team collaboration because it allows you to create and join multiple groups and organizations. Usually, you want to test a few things and features before announcing them to the rest of your team or organization. And after a while, you don’t want to use the other account. Deletion would be an obvious choice, but you can also Archive it so you can use it again later by restoring it. We will show you how to archive, delete, and recover your Microsoft Teams account in this post.

How to delete Microsoft 365 Teams free organization

There are two types of Teams accounts. One is the free 365 Teams organization we’ll discuss now, and the other is the regular free Teams account we’ll discuss later.

We’ll start with the team members and get rid of them first and work from there.

Step 1: Click on your profile picture on the right and select Manage Organization.

Step 2: You will see a list of all the members of your organization in the Members tab. Click the x icon to the right to remove them from the group.

How to find admin’s email address

We need this for verification at the time of account deletion.

Your admin email address is part of your Azure account. Go to Groups > Groups I Own and your admin email ID should be on the right.

How to reset password

You need to reset your password before you can continue. Go to the Microsoft 365 admin center.

Step 1: You’ll be asked to enter your account password, but instead, you’ll select the Forgot my password link to initiate the reset process.

Step 2: Enter the admin email ID you found in the previous step. You will receive a verification code in your email. Use it to reset the password.

Delete folder in Azure

Step 1: Open the Azure portal and click the menu icon to select Azure Active Directory.

Step 2: Click the Delete folder button at the top, but there are some verification checks that you will need to complete to complete the deletion process.

Step 3: Follow the links in the Required Actions column and pass all the checks. You can skip the Registration check.

Step 4: You must cancel the last subscription. Follow the steps to first cancel and then delete the folder. This process will take up to 72 hours. Go back to Azure portal > Azure Active Directory and select Delete folder.

Verify that all checkmarks show up in green. Click the Delete button at the bottom of the screen.

How to delete a Microsoft Teams account

The steps to delete a regular Teams account are much simpler.

Step 1: Open a Teams account and sign in with your credentials. Click the Groups button on the left and select Settings below.

Step 2: Click on the three-dot menu icon next to the team name you want to delete and select the Delete team option.

You will have up to 30 days to restore the team.

How to archive and restore a Microsoft Teams account

Deleting a Microsoft Teams account is more permanent in nature. Maybe you could host it instead? That way, there’s always an option to restore it later if you need to. We will also discuss how to do that.

Open Microsoft Teams, click the gear icon to open Settings, select the three-dot menu icon next to the team name, and select Archive.

A pop-up will appear and ask for confirmation. Click Archive.

Follow the same steps but this time, select Restore from the menu to restore the archived Microsoft Teams account.

Working with the group

While the steps to delete, archive, and restore a Microsoft Teams account are fairly simple, the same cannot be said for a free Teams organizational account. There are many steps involved and quite a few involved in making this process take longer than necessary. But it is, and I guess part of the reason is that it’s connected to a Microsoft 365 account. Either way, now you know what to do.

Microsoft Teams is popular with Office suite users and those deeply integrated in the Microsoft ecosystem. For the rest of the world who need an app for video calling and conferencing, it’s overkill. Zoom or Google Meet is a much better choice. They don’t offer project management features like Teams. So choose wisely based on your needs.
